Student Records – Current Students

KYCOM’s policy with respect to its student educational records adheres to the requirements and regulations of the Family Educational Rights and Privacy Act.  (FERPA).  The Family Educational Rights and Privacy Act (FERPA) (20 U.S.C. § 1232g; 34 CFR Part 99) is a federal law that protects the privacy of student education records.

  • Verifications of Enrollment Status/Academic Standing
  • Name Changes – Please note that name changes for 1st and 2nd year students will not be processed during a semester as it affects class rosters.   
  • ERAS (Electronic Residency Application Service) – Transcript and MSPE electronic uploads
  • Transcripts – Official transcripts may be ordered via the UPIKE website homepage. (Simply type “transcript” into the search bar and follow the directions to set up an account with Parchment Exchange if one has not been created previously.)  Currently enrolled students may view/print unofficial transcripts through UPIKE Self-Service.

How to Update Personal Information

Students are responsible for ensuring KYCOM has their current mailing address, email address and phone number(s) on file, as well as their emergency contact information.  Additionally, KYCOM students must maintain active operation of their university student email accounts to receive messages from KYCOM administration, faculty and staff.

Student Records – Graduates/Formerly Enrolled Students

  • Diplomas – requests for new or replacement diplomas
  • Transcripts – Official transcripts may be obtained by ordering online from the UPIKE website homepage.  Type “transcript” into the search bar and follow directions to set up an account if one has not been created previously.  Transcripts to be uploaded (or mailed) for residency or fellowship applications are provided as a courtesy to our graduates.  Transcripts cannot be sent via email as this is not a secure method of transfer.
  • Residency/Fellowship Applications – send/upload transcripts or MSPE’s (i.e. AAMC/ERAS/MIDUS)
  • Verification of graduation or past enrollment
