Please read the following policies you must adhere to when using event space at The University of Pikeville.

Alcohol Policy

The University of Pikeville does not allow alcohol to be served on campus.

Americans with Disabilities Act (ADA)

It is the policy of the University of Pikeville that no qualified person shall on the basis of disability, be excluded from participation in, be denied the benefits of, or be subject to discrimination in any job, facility, program, or activity provided by the university.

Food & Catering

Aramark Catering is the exclusive caterer at UPIKE. All food provided at your event must be served and catered by Aramark. Outside food and beverage as well as potlucks are prohibited. To arrange catering, please contact Aramark directly at (606) 218-5033.

Parking

Parking on the UPIKE campus is regulated at all times and is limited during business hours, Monday through Friday from 7 a.m. – 5 p.m. During these times, event guests may need to seek alternate parking in the parking garage adjacent to campus. Parking is free in the garage and event guests may utilize the covered pedestrian walkway that connects to Record Memorial Building on campus.

Payment Policy

UPIKE requires a $250 non-refundable deposit and a down payment of 50 percent of the rental due with the application. The balance is due the day of the event. The representative for the event who signs the contract is financially responsible for any theft, damage to property, property clean up, as well as personal injury during the time specified on the contract.

Event Cancellation Policy

If an event is cancelled two weeks or more prior to the booking, all but the non-refundable $250 deposit is returned. If an event is cancelled less than 14 days before the event, UPIKE will retain the deposit and down payment.


Misc. Policies:

All decorations must have prior approval from the University of Pikeville Conference and Event Services department. The client is responsible for removal and disposal of all decorations immediately after the event.

The following are allowed in event spaces:

  • Battery operated candles
  • Blue painters tape to affix decorations to walls or windows
  • Fresh flowers or similar centerpieces
  • Helium balloons and air-filled balloons
  • Stand up decorations

The following are prohibited in event spaces:

  • Confetti/glitter
  • Decorations may not be suspended from ceilings, light fixtures or curtains
  • No Scotch, masking or duct tape may be used on any walls, windows, tables, floors or equipment
  • Objects that may puncture walls, woodwork, tables, chairs or staging including staples, nails and tacks
  • Open flames, candles and fog smoke machines

Acceptable Political Activities:

  • Activities focused on educating students with respect to the political process.
  • Certain voter registration activities if related to the institution’s educational purposes.
  • Partisan editorial activities of a student newspaper that is supported by a college or university.
  • Public opinion polls with respect to issues (rather than candidates).
  • Sponsored public forums to which all legally qualified candidates for a public office are invited and given equal access and opportunity to speak.

Note: Please consider carefully before deciding to hold a meeting, event or conference with political overtones. Penalties for improper political activity by and at a college or university can include loss of the institution’s tax-exempt status, imposition of taxes on the institution and its responsible managers, and other risks, including federal or state lawsuits, audits, and investigations.

The mission of the University of Pikeville Public Safety Department is to serve the campus community with professionalism, integrity and respect. We are committed to provide a safe and secure environment for students, staff, faculty and visitors to work and learn. In an effort to fulfill that mission, the Public Safety Department is dedicated to assisting student groups, faculty and third party event organizers in producing safe and successful events on campus. Many resources are available within the Public Safety Department to assist event organizers in developing the appropriate and necessary safety and security measures for a wide range of events.

The University of Pikeville Public Safety Department may require certain levels of safety and security at an event based on analysis of several factors including but not limited to:

  • Access level (public event, ticketed event, invitation only, etc.)
  • Event type (festival, concert, sporting event, student organization event, speaker, etc.)
  • Existing or planned security measures
  • Health and safety concerns
  • Location of event
  • Number of university staff that will be present
  • Other events taking place on campus
  • Parking, transportation or traffic plans
  • Projected attendance

All publications and advertisements using the University of Pikeville name or logo must be reviewed and approved by the Marketing and Communications office prior to distribution or publishing. Sponsorship or endorsement by the University of Pikeville may not be implied without advance permission by the University of Pikeville Public Affairs office.

Directional Signage
The University of Pikeville Conference and Event Services department offers 8 ½” x 11” sign holders to help event attendees navigate to and around events on campus. The Conference and Event Services department will arrange for directional signage at the request of the client and will provide up to four sign holders per event. Charges may apply for additional signage needs.

Client Signage
Clients shall not post signs on walls, doors, glass, trees, vehicles or railings.
Lamination of all signs is highly recommended.
