University of Pikeville Transcript Requests

Electronic transcripts (eTranscripts) are processed through Parchment Exchange, along with requests for mailed transcripts. No third party requests for transcripts will be accepted as this is student-initiated processing. We do not accept requests for transcripts via fax or telephone.

If this is your first visit to the UPIKE/Parchment online ordering system, please click Create Account and enter the required information. Once your account is created you will be able to request transcripts online and track the status of your orders. Upon future visits for transcripts, you will log in with your credentials and click Sign-In.

It is strongly recommended that you do not create an account using a UPIKE provided email address, as it could be deactivated after you leave UPIKE. Please use a personal email account when creating this account so you can manage the Parchment Exchange account in the future.

Ordering Options:

Ordering information for an undergraduate (dual credit/associate/bachelor), graduate (masters), osteopathic (D.O.), optometric (O.D.) or a combination of these transcripts follows:

Delivery Mode:

Please make sure to verify which delivery method the destination prefers for the transcript to be sent to them before placing the order as UPIKE is not responsible for any incorrect delivery methods or destinations.

  • Electronic – Use this method to order an official, certified PDF of your transcript. Electronic copies may not be ordered if you attended Pikeville College prior to 2005 or if you attended Pikeville College School of Osteopathic Medicine prior to 2011. Orders are generally processed by the next business day, but please allow for additional processing time during high volume periods (i.e. registration or graduation). Once delivered, eTranscripts will be available for download for 15 days. If requesting this transcript for your personal use, you should retrieve the document and save it to your computer. Once these have expired, the cannot be retrieved.
  • Paper Transcript – Mailed – Use this method to order an official paper copy of your transcript to be mailed to a destination. Please place the complete mailing address for said destination, including school or company name and an attention person or office, if necessary. Incomplete or incorrectly addressed orders will be delayed or never reach their destination. Mailed transcripts may take three to seven business days to reach their destination. Orders are generally processed by the next business day, but please allow additional processing time during high volume periods (i.e. registration or graduation)

This is step by step instructions how to select paper option on Parchment:

  • Paper Transcript – Pickup – Located under the Send to Yourself, Another Individual, or Third Party link. Use this method to order an official paper copy of your transcript to be picked-up at UPIKE. Transcripts picked-up are stamped Issued to Student. Please allow 24 hours processing time before arriving at UPIKE. Orders are generally processed by the next business day, but please allow for additional processing during high volume periods (i.e. registration or graduation). Valid photo identification may be required when picking up transcripts in person.

Notes: Transcripts will not be processed for those with restrictions or holds placed on their account. The Registrar’s Office is located in the Armington Learning Center, Room 218. Our transcript processing hours are Monday through Friday from 8 a.m. to 4 p.m.


Processing Time:

  • Now/On Demand – Transcript will be processed based on the current point and time in the semester. Please note that any requests made during the finals week period will be moved to Hold for Grades by an administrator. We are unable to process any transcripts during this period as partial transcripts cannot be given.
  • Hold for Grades – Transcript will be processed at the end of the semester after grades, honors and academic standing are applied. This may occur up to two weeks following the end of classes for the semester.
  • Hold for Degree -Transcript will be processed after degrees have been applied. This may occur up to two weeks following the end of classes for the semester.

Transcript Fees:

UPIKE charges a fee for each transcript released. Please allow up to two business days for all methods of processing.

  • eTranscript processing: $10 per copy
  • Standard Domestic Mail: $12 per copy ($10 copy fee plus $2 standard mail fee)
  • International Mail: $13 per copy ($10 copy fee plus $3 standard mail fee)
  • Expedited processing:
    • FedEx Overnight Domestic: $35 ($10 copy fee plus $25 overnight fees)
    • FedEx International Priority: $50 ($10 copy fee plus $40 international overnight fees)

Payment Methods:

All official transcript requests are processed through the Parchment Exchange with these major credit cards accepted for payment (Visa, MasterCard and Discover Card).

How to Order:

  • All students/alumni must create an account the first time visiting the Parchment Exchange. You will need to retain this information for future request. UPIKE personnel cannot access this information for you.
  • Orders must be placed through the UPIKE Parchment Exchange account. Walk-in requests may require you to log-in to (or create) their account at the Office of the Registrar’s kiosk station. Staff members will be available to assist, if necessary.
  • Walk-in requester must pay by cash, check or credit card. You will be required to take their request to the business office and return to the registrar’s office to provide proof of payment.
  • Please note that the business office cannot accept any payments after 4 p.m. daily.

Transcript Holds:

  • Transcript requests will be canceled for any student who has an outstanding debt with UPIKE. You will be notified of this order cancellation via email. You will have to resubmit your order once your outstanding debt has been paid.
  • Your credit card will not be charged if your order is canceled.

Tracking Your Order:

Transcript orders may be tracked through your account in Parchment Exchange and per emails sent to the primary email address listed for you on your Parchment Exchange account record.

Holiday Schedule:

Transcripts are not processed when UPIKE is closed, including weekends. You may still order your transcript anytime, however, it will not be processed until staff returns to the office.
