University of Pikeville Inclement Weather Plan

There are instances when the university must cancel or delay classes because of weather-related emergencies. In preparing for such eventualities, the university has three different statuses:
 
Open: Business as usual;
Closed: Classes cancelled and most offices closed; and
Snow Plan: 120-minute delayed start
 
Closed status and Snow Plan status are described below. The authority to close the institution or go on the Snow Plan schedule resides with the President or designee.
 
With regard to weather-related emergencies, all faculty, staff and students are expected to use their best judgment when traveling to campus. Please do not travel if you believe local conditions are such that travel is hazardous.
 
Procedures:
 
Decisions: The Office of Campus Safety and Security is responsible for notifying the President of possible inclement weather and to recommend a course of action based on the best available information. The President will consult key executive staff members and make a decision. The Director of Campus Safety and Security will then notify various personnel to communicate the information to the campus community. The goal is to make the decision by 6 a.m. No communication means that the university is open for business as usual.
 
Communications: Official communication about closing campus or going on the Snow Plan will be communicated via email and through the campus website. Emails from the President, Campus Security, or the Vice President for Academic Affairs will be considered official communications. The university will also be sending out the information to local media outlets and through social media. If there is any question regarding the authenticity of the message, faculty, staff and students are encouraged to check their UPIKE email and the website for official communications.
 
Closed Status: When the university is closed the following will happen:
 
  1. Classes are canceled for the entire day. Students should check their email and Joule for updates from their instructors.
  2. All offices are closed except for key areas such as Physical Plant, Campus Safety and Security, and the Cafeteria. Essential personnel will need to report as appropriate.
  3. Cafeteria: Will be open on the Saturday brunch schedule.
  4. Library: If UPIKE is closed, the library is closed. Conditions permitting, the library will reopen the evening before classes resume from 1-9 p.m. with the normal evening staff. These hours are subject to change based on conditions. 
In the event that the university closes during the normal operations day, this will be communicated to all faculty, staff and students through the means listed above.
 
Snow Plan – Delayed Start: In the past couple of years, it has become apparent that the university would benefit from having a delayed start plan to allow classes to meet in the event of inclement weather – particularly snow. The basic plan would be to start classes at 10 a.m. instead of 8 a.m. This would allow road crews and university personnel to make progress on clearing streets and sidewalks. The plan was constructed around following goals:
 
A.   The opening of offices and the start of classes will be delayed by two hours.
B.    All classes will have the opportunity to meet – albeit for a shorter period of time.
C.    The “normal” class schedule will resume no later than 4:30 p.m.
D.   Meeting, office hours and other activities will be adjusted to comply with the adjusted schedule.
E.    Offices will close at their normally scheduled time.
 
Specifics for each academic area:
 
CAS, CCOB, and PCOE Undergraduate and Master’s Classes – see attached schedules:
The MWF adjusted class schedule is set up so the first eight “normal” class periods are shortened 15 minutes – meeting for 35 minutes instead of 50 minutes (see table). The schedule becomes “normal” with the 4 p.m. courses. The time between classes remains at 10 minutes.
 
The TR schedule is set up so the first five “normal” class periods are shortened 15 minutes. The time between classes is reduced from 15 minutes to 10 minutes. The schedule becomes normal with the 4:30 p.m. classes (see table). The chapel/meeting hour (11 a.m. to 11:50 a.m.) is reduced to 30 minutes.
 
ESON Classes: ESON students should check their UPIKE emails and Joule for specific details.
 
KYCOM Classes: As part of the UPIKE Snow Plan delayed start, KYCOM classes will be delayed until 10 a.m. The regular class schedule will be followed for the remainder of the day and any hours originally scheduled from 8-10 a.m. will be made up at a later time, possibly even at the end of the same day. For days that start with 8 a.m. labs, such as gross anatomy or CAOM, it is likely that those labs would begin at 10 a.m., with the remainder of the daily scheduled adjusted accordingly. Students should check their UPIKE emails and Joule for specific details.
 
Offices: All essential employees report at normal times. Non-essential employees report at 10 a.m. or their normal start time if later. All employees will be compensated for the cancelled two hours of the day. Employees who cannot make it to campus until later than the delayed start time may take appropriate leave time without fear of penalty because the leave was not approved.
 
Cafeteria: Opens according to the normal schedule.
 
Libraries: The Allara Library will open at 9:30 a.m. The Medical Library will open at 9:30 a.m. or according to its normal schedule.
